A Success Story

PROJECT STATS:

Twelve (12) city block campus

Goal:

Organize the US Campus (multiple buildings) of $126.4 billion pharmaceutical and medical products subsidiary using process, not functional, adjacencies.

Outcome:

When Minnesota-based RSP i_SPACE, a facility information management studio within RSP Architects, was given the assignment to organize a twelve city block campus into process adjacencies, versus the current functional adjacencies, they knew they had their work cut out for them.  Employees were scattered all over the place, including over 600 residing in trailers and demolishable buildings.  Plus, the client had estimated adding approximately 250 administrative staff by fourth quarter 2016.  The client was lacking the reliable data from which to begin making a long-term strategic plan, and also one that would support and justify funding requirements._

The architecture firm used SpaceTrak to collect all the key data upfront.  Using SpaceTrak, they were able to survey eighty (80) senior managers and executives over a week and a half.  Ten-person sessions were held each day where, after a brief training session, data was input into SpaceTrak directly by the senior staff.  This new process received a great deal of positive feedback.  Not only were the department heads pleased that the company was being pro-active in anticipating their needs 4-5 years out, but the headcounts were now accurate, including both employees and contractors.  In the past, Human Resources had only accounted for full-time employees and could only forecast three to four quarters ahead using spreadsheets.

Because of the systematic way the data was collected and reported, the company leaders, after initial skepticism, had complete confidence in the data that was pulled.  The bottom up data gathering effort ensured higher accuracy from which to make key strategic decisions.

Reports were created using that data, with implications on next steps and vision for the future.  Even after the plan was created, the data was revisited to justify spending levels and decisions.  Having accurate “defensible” data changed how the company would design for today, but, more importantly, for tomorrow.  The master plan was completed and sold, and was broken up into phases of implementation.
